FAQ’s - Microsoft 365 Training

In 2023, we hosted a Microsoft 365 training day, aimed at teaching others how to use the programs that Microsoft has on offer and how to be more productive with their programs. This educative event also had a panel for people to ask questions about the programs. We thought many of these were great questions and we thought we would share them with you to hopefully answer some questions those who didn’t attend the event would also share.

Now let’s begin with the questions!

Is there a limit to the amount of data/files that can be stored in Sharepoint?

  • Sharepoint can store up to 25 terabytes of data

Are you able to categorise documents in SharePoint that you can then search on?

  • Sharepoint provides organization tools based on metadata properties to categorize your organisation’s data. You can use these to refine search results by sorting them using document criteria like date and department name. You can also use keywords like ‘report’, ‘updated’ and ‘revised’ to quickly narrow search results.

Can one document be on more than one site in SharePoint? Ie. Is it stored in one place and linked to wherever you like as many times as you like?

  • There is a possible way to do this. Place the document in one location and use the link to document content type in the other libraries. Supply the address of the original document in the link to document content type entries. Documents will be stored in only one place on SharePoint however they can be retrievable anywhere you wish. This does require that the user has access to the original location of the document.

Should a small business (less than 15 users) wishing to migrate to the cloud use Teams implementation or SharePoint first?

  • Deciding what program to roll out first is specific to each individual organisation’s needs. Both approaches are valid. Our consultants can help determine which option is the best for your business.

Can external apps be integrated into SharePoint? 

  • Several third-party services integrate with SharePoint. Notable external integrations are YouTube, X (formally Twitter) and Bing Maps, which can seamlessly incorporate content and location-based data. Microsoft products also integrate naturally with Sharepoint allowing users to access, share and interact with content from within the Sharepoint ecosystem.
